1. Introduction and Scope

AI Agencies LLC, 1704 Llano Street, Ste B-1074, Santa Fe, NM 87505, United States (“AI Agencies,” “AIAgencies.io,” “we,” “us,” or “our”) operates several websites, mobile applications, and related online resources (together, the “Online Resources”). This Privacy Policy (“Policy,” “Statement,” or “our Statement”) explains which kinds of personal information we collect through those Online Resources, how we use that information, with whom we share it and why, and the measures we take to protect it.

Throughout this Policy, the words “you” and “your” refer to each individual visitor who is at least 13 years of age. “Personal information” means any data that identifies, relates to, describes, or could reasonably be linked to a specific person—such as a name, postal address, e-mail address, telephone number, or unique device identifier. Where local law (for example, the California Consumer Privacy Act or the EU General Data Protection Regulation) defines personal information more broadly or narrowly, we apply the definition that is required for people covered by that law.

2. From Whom We Collect Personal Information

We collect personal information from four main groups. First, we collect it from visitors and users of our Online Resources—for instance, when someone fills out a contact form, subscribes to a newsletter, registers for a webinar, or simply browses our site and allows cookies to record device or usage details. Second, we collect personal information from our customers and prospective customers, such as account credentials, billing details, purchase history, and usage analytics, so that we can process payments, deliver services, and provide support.

Third, as an employer we collect professional and employment-related personal information about our workforce and job applicants (for example, résumés, compensation data, and background-check results). Legally required notices about that data are provided in our internal HR manuals, applicant portals, or in third-party systems that transfer applicant information to us.

Finally, we collect limited business-contact information from vendors and other business partners—such as names, work e-mail addresses, phone numbers, and banking coordinates—so that we can manage supplier relationships, issue payments, and perform contractual obligations.

Although this Policy focuses on information collected from visitors, users, and customers, all four groups are covered by our overall privacy program.

3. What We Collect

When you interact with our Online Resources we collect two broad categories of information: (i) non-personal information that is gathered automatically from every visitor, and (ii) personal information that you voluntarily provide or that is otherwise linked to you.

3.1 Voluntarily Submitted Personal Information

Many areas of our site are open to the public, but certain activities—such as creating an account, purchasing a subscription, registering for a webinar, or posting in a community forum—require you to share personal details. Typical data we request at these touch-points include:

identifiers such as name, e-mail address, postal address, and telephone number;

professional details such as company name and role; and

payment information such as credit-card number and billing address (processed by PCI-compliant providers).

We do not sell, rent, or trade voluntarily submitted personal information. Participation is always optional, but declining to provide requested data may limit your ability to take advantage of certain features.

Examples of how we use voluntarily supplied information:

E-mails and web forms. If you e-mail us or fill out a contact form, we keep the address and any other details you include so we can reply and handle your request. Depending on what you provided, our response may come by e-mail, phone, or text.

Account registration. When you register, we store the information you enter so we can create and manage your account, authenticate log-ins, and communicate with you.

Event registration. If you sign up for a paid webinar or conference, we use the submitted data—including any payment card details—to register you and send reminders or follow-ups.

Subscriptions and services. Customer data is used to deliver the products you purchase, manage your subscription, and provide support.

Community features. Some resources allow you to post messages, comments, images, or other files. Anything you share in a public area becomes public and is not protected by this Policy.

If you prefer not to give us certain personal information, refrain from submitting it and instead contact us by a different method (for example, regular mail or telephone).

3.2 Information Collected Automatically

When you visit our Online Resources, we automatically gather basic technical details through your browser and through small files called “cookies.” Cookies recognise your device and remember preferences or past actions. We also allow third-party partners (for example, Google Analytics) to place cookies or similar technologies so they can analyse site usage on our behalf. You can read about how Google handles data at google.com/policies/privacy/partners and learn how to opt out at tools.google.com/dlpage/gaoptout.

Automatically collected data may include:

domain name and IP address used to access our site;

type of browser and operating system;

date, time, and length of each visit;

pages viewed, graphics loaded, documents downloaded;

links clicked to and from external sites.

If you visit from a mobile device, your provider may supply us with a unique device identifier and, if location services are enabled, coarse geolocation data. Disable location services in your device settings if you do not want us to receive that information.

We use automatically collected data to:

compile anonymous statistics about popular pages and navigation paths;

improve site design and performance;

remember certain choices to make future visits faster and more convenient;

tailor marketing or service messages to broad audience segments.

You can manage cookie preferences in your browser, but blocking cookies may reduce site functionality.

3.3 Data Retention

We keep personal information only as long as necessary to fulfil the purposes described above or to meet legal, accounting, or regulatory obligations. Once data is no longer required, we securely delete or anonymise it in accordance with our internal retention schedule and applicable law.

4. User Beware — External Sites, Apps, Links, and Social Media

AI Agencies maintains official pages on external social-media platforms such as Facebook, X (formerly Twitter), YouTube, and LinkedIn. We may also embed or display portions of those platforms inside our Online Resources, and we may provide hyperlinks to third-party websites, software, or mobile apps that we do not operate. We do not control—and are not responsible for—the content, security, or privacy practices of any third-party platform or site. Each external site or app has its own privacy policy and terms of use; if you have questions about how a third party collects and processes personal information, you should review its policies and contact that provider directly.

5. When and With Whom We Share Personal Information

We use non-personal information (for example, aggregated analytics data) to run and improve our Online Resources and to help us decide which services might interest our audience. Personal information you voluntarily supply is used to answer your enquiries, deliver the products or services you request, and for the other purposes described in this Policy. We do not sell or rent your personal information to data brokers or marketing-list companies. We do, however, disclose information in the situations outlined below:

Affiliates. We may share personal information within our corporate family of entities, which will use it in ways consistent with this Policy, including sending you news about related products or services.

Legally compelled disclosures. We may disclose personal information when required or permitted by law—such as in response to subpoenas, court orders, or lawful requests from government authorities.

To prevent harm. We may share information when we believe disclosure is necessary to protect our rights, property, or safety—or that of other users or the public.

Business transfers. If AI Agencies or substantially all of its assets are merged, sold, reorganised, or otherwise transferred, personal information may be included among the transferred assets.

Vendors and business partners. We disclose personal information to trusted vendors that provide services on our behalf—such as payment processors, hosting companies, e-mail platforms, analytics providers, and third-party software integrators you choose to connect to your account. We share only the information each vendor needs to perform its work.

All vendors and partners that receive personal information are expected to follow our standards: they must use the data only for the intended business purpose, keep it confidential, and not transfer it outside the United States without our consent. While we use contractual measures to enforce these requirements, we cannot guarantee perfect compliance by every third party in every situation.

6. Your Rights and Options

You are not required to share personal information to browse most areas of our Online Resources, and you may opt out of optional communications such as newsletters or product updates at any time. In addition, certain jurisdictions give their residents specific legal rights:

California residents have disclosure, access, deletion, and non-discrimination rights under the California Consumer Privacy Act (CCPA) and California Privacy Rights Act (CPRA).

Data subjects in the European Economic Area, Iceland, Liechtenstein, Norway, Switzerland, and in other jurisdictions that recognise the EU’s “adequacy” standard (for example, Andorra, Argentina, Canada [commercial-sector], Faroe Islands, Guernsey, Israel, Isle of Man, Jersey, New Zealand, Uruguay, and Japan) have GDPR-style rights to transparency, access, rectification, erasure, restriction, portability, and objection.

United Kingdom residents have equivalent rights under the UK-GDPR.

To exercise any of these rights—or to opt out of marketing e-mails or texts—use the unsubscribe link in the message, reply “STOP” to a text, or e-mail [email protected]. We will respond as required by law. Because removal requests may take time to propagate through our systems, you might continue to receive messages for a brief period after opting out.

Your browser may offer a “Do Not Track” setting; our Online Resources do not currently respond to that signal.

7. Children’s Privacy

Our Online Resources are not directed to children under 13, and we do not knowingly collect personal information from anyone in that age group. A parent or legal guardian may provide a child’s information only after completing our parental-consent verification process. If we discover that a child under 13 (or under 18 where parental consent is required) has submitted personal information, we will promptly delete it. If you believe a minor has provided us personal data without proper consent, please contact [email protected]. We encourage parents to discuss online safety and privacy with their children.

8. How We Protect Collected Personal Information

AI Agencies maintains a comprehensive security program that combines technical, organisational, and administrative safeguards designed to protect personal information in accordance with industry standards and applicable law. Data is encrypted in transit and at rest; access to production systems is gated behind multi-factor authentication; and personal information is stored in logically segmented databases. We use firewalling, intrusion-detection, vulnerability scanning, and regular penetration tests to reduce the risk of unauthorised access.

Role-based access control (RBAC) limits staff exposure to personal data. Employees receive only the minimum level of access their job duties require. Higher-level roles carry broader permissions; lower-level roles are restricted to what is strictly necessary. We audit and monitor access logs on a routine basis and investigate any anomalies or violations without delay.

Despite these measures, no method of transmission or storage can be guaranteed 100 percent secure. Except for our duty to maintain reasonable safeguards as required by law, we disclaim liability for unauthorised access, loss, misuse, or alteration of personal information that occurs beyond our reasonable control.

If we determine that a security incident has compromised personal information, our incident-response plan is activated. We will notify affected individuals and regulators as required, and we will work with any relevant vendors or partners to remediate the issue.

9. California Consumer Privacy Act (CCPA) Notice

When we collect personal information from California residents, the California Consumer Privacy Act (Cal. Civ. Code § 1798.100 et seq.) applies. In this section, “you” and “your” refer only to individuals who reside in California.

Categories of personal information we collected in the last 12 months include: identifiers such as name, postal address, e-mail address, IP address, and other unique identifiers; information described in Cal. Civ. Code § 1798.80(e) such as telephone number and payment-card details; commercial information such as records of products or services purchased; Internet or other electronic-network activity such as browsing and search history; geolocation data derived from IP address or mobile device; and audio, electronic, or similar information (for example, voicemail left on a support line). We collect and use this information for the business purposes described in this Policy—such as providing services, processing payments, detecting security incidents, and improving our Online Resources.

We do not sell personal information, and we have not sold personal information in the past twelve months.

California residents have the right to request: (1) disclosure of the categories and specific pieces of personal information we have collected about them; (2) deletion of their personal information; and (3) that we not discriminate against them for exercising any CCPA right. To submit a CCPA request, e-mail [email protected] with “CCPA Request” in the subject line. We will verify your identity and respond as the statute requires.

10. California Privacy Rights

California residents are entitled to the following rights under the California Consumer Privacy Act (CCPA) and California Privacy Rights Act (CPRA):

Right to Know / Disclosure – to request the categories and specific pieces of personal information we have collected, the sources of that information, the business or commercial purpose for the collection, and the categories of third parties with whom it is shared.

Right to Access – to receive a copy of the personal information we hold about you.

Right to Delete – to request deletion of personal information we collected, subject to statutory exceptions.

Right to Correct – to ask us to rectify inaccurate personal information.

Right to Non-Discrimination – we will not deny goods or services, charge different prices, or provide a different level of quality if you exercise any CCPA right.

You may exercise any of these rights twice within a 12-month period by e-mailing [email protected] with “California Request” in the subject line. We will provide a simple request form and instructions for verifying your identity (or the authority of your authorised agent). We will confirm receipt and respond within the time frames the CCPA requires.

11. EU / EEA / UK Privacy Notice (GDPR and UK-GDPR)

We collect personal data from individuals located in the European Economic Area, Iceland, Liechtenstein, Norway, Switzerland, and the United Kingdom (together, “GDPR Jurisdictions”). Separate workforce, customer-contract, and vendor agreements describe GDPR compliance for those groups. This section explains how we handle personal data collected from visitors and users in GDPR Jurisdictions.

11.1 Lawful Basis

We rely primarily on legitimate interest to collect and use personal data for the purposes set out in this Policy (for example, operating the site, providing requested content or services, preventing fraud, and improving our offerings). We do not sell personal data, nor do we engage in automated decision-making that produces legal or similarly significant effects.

11.2 Cross-Border Transfers

Personal data may be processed in the United States or other countries that have not been deemed “adequate” by the European Commission. Where such transfers occur, we use the safeguards permitted by GDPR (for example, Standard Contractual Clauses or another approved mechanism).

11.3 Your GDPR Rights

For personal data collected while you were in a GDPR Jurisdiction, you have the rights of transparency, access, rectification, erasure, restriction, objection, portability, and information about recipients and purposes. To exercise any of these rights, e-mail [email protected] with “GDPR Request” in the subject line. We may request additional information to verify your identity and will respond without undue delay, and in any event within the deadlines set by Articles 12-23 of the GDPR. If you are dissatisfied with our response, you may lodge a complaint with your local data-protection authority; contact details for EU regulators are available at https://edpb.europa.eu.

12. Rights of Data Subjects in Other Jurisdictions

Where local privacy laws outside California, the EU/EEA, Switzerland, and the United Kingdom grant individuals additional rights, we will honour those rights to the extent required. We may collect and use in those jurisdictions the same categories of personal information described earlier, always in compliance with the applicable local law. We do not sell personal information, and we do not engage in automated decision-making that produces legal or similarly significant effects.

13. Changes to This Privacy Statement

This Privacy Statement was last revised on August 7 2025 and is effective as of that date. The English-language version is the controlling text, even if translated. We reserve the right to modify this Statement at any time. Please review our Online Resources periodically; continued use after a revised Statement is posted signifies acceptance of the updated terms.
